John Holland engaged Comply Flow in 2018 to deliver a comprehensive, end-to-end system for managing contractor compliance, competencies, plant and equipment. Specifically, they sought to build a long-term solution for solving complex administration and document management processes, and one which would empower head office with greater visibility into project-level safety and compliance.
Prior to partnering with Comply Flow, project compliance and safety was managed differently for each project, with inconsistent requirements, information silos and a lack of oversight from head office. Paper-and-spreadsheet systems for managing contractor records were inefficient and cumbersome, and increased site risks by creating potential for compliance gaps in absence of a unified system.
Comply Flow worked with the project team to define compliance requirements, including the specific requirements each supplier (company), worker and plant or equipment item would need to meet in order to achieve a 'compliant' status in the system. Requirements were deteremined on the level of supplier risk, type of work undertaken by the worker, or plant & equipment operated, with additional project-specific requirements pushed to all workers on a project.
Our system also supports the seamless sharing of contractor compliance profiles (company, workers, plant) across projects, meaning contractors engaged across multiple projects only need to onboard their workers and complete general training once into Comply Flow, saving countless administration hours. Project teams are also given independence to manage their own projects within the head office account, while rolling out additional projects using Comply Flow took a matter of days.
